Privacy Policy

ProofTurn (“we”, “us”, “our”) operates the ProofTurn web application (the “Service”). This Privacy Policy explains what personal data we collect, why we collect it, how we use it, and the rights you have over your data.

ProofTurn is the data controller responsible for your personal data. Our order process is conducted by our online reseller Paddle.com. Paddle.com is the Merchant of Record for all our orders. Paddle collects and processes payment data as a separate data controller — see Paddle’s Privacy Policy for details on payment data handling.

Information we collect

We collect the following categories of personal data:

• Account information: your full name, email address, and company name, provided when you create an account.
• Property information: property names, addresses (street, city, state, ZIP code), bedroom and bathroom counts, and default check-in/check-out times you add to manage your rentals.
• Job information: job type, title, description, scheduled date and time, deadline, assigned worker name and phone number, owner notes, and job status.
• Checklist data: task titles, sort order, required status, and completion timestamps for job checklists you create.
• Photos: job-proof photos uploaded by workers through secure worker links, stored privately and accessible only to you and the assigned worker’s link.
• Worker contact details: the name and phone number of workers you assign to jobs. Workers do not create accounts — this information is entered by you, the account owner.
• Payment and subscription data: your subscription plan and status. Payment details (card numbers, billing addresses) are handled by Paddle and are not stored by ProofTurn.
• Technical data: IP address, browser type, and device information collected through standard server logs and authentication.

How we use your data

• To create and manage your account and authenticate your sessions.
• To provide the Service: managing properties, creating and tracking jobs, checklists, and photo proof.
• To share limited job information with assigned workers through secure, token-based links.
• To process subscription payments and manage your billing through Paddle.
• To provide customer support and respond to your inquiries.
• To maintain security, prevent fraud, and comply with legal obligations.

Legal basis

We process your data on the following legal bases:

• Contract performance: processing account, property, and job data necessary to provide the Service you requested.
• Legitimate interests: security, fraud prevention, and service improvement.
• Legal obligation: complying with applicable laws and tax requirements.
• Consent: where you provide optional information or agree to specific uses.

Data sharing

We share data with the following categories of recipients:

• Paddle (Merchant of Record): for sale of the product, subscription management, payments, tax compliance, and invoicing.
• Hosting and infrastructure providers: database and application hosting services.
• Assigned workers: limited job details (property name, address, job type, checklist, and photo upload capability) shared through secure, per-job links. Workers never receive your account email, other properties, or other jobs.
• Authorities: where required by law.

Data retention

We retain your data for as long as your account is active. When you delete a property, job, or photo, that data is removed from our systems. If you close your account, we will delete or anonymise your personal data within a reasonable period, except where retention is required by law.

Your rights

Depending on your jurisdiction, you may have the right to:

• Access the personal data we hold about you.
• Request correction of inaccurate data.
• Request deletion of your data.
• Restrict or object to processing.
• Request data portability.
• Withdraw consent at any time where processing is based on consent.
• Complain to your local data protection authority.

Security

We take appropriate technical and organisational measures to protect your data, including encryption in transit and at rest, access controls, and row-level security policies that ensure each account can only access its own data. Payment data is handled exclusively by Paddle under its own security standards.

Cookies

ProofTurn uses essential cookies to maintain your authenticated session. We do not use advertising or tracking cookies. Any analytics cookies are optional and can be managed through your browser settings.
